How it works
Four steps, and only one of them is yours.
Most of this happens without anyone at your office doing anything. The part that needs you takes about ten minutes, once.
The four steps
We review your site — free, before you decide anything
Give us your web address. We check your home page against the standard, find the documents you publish, and check those too. You get a report with your actual numbers, in plain English, and no obligation. Most people forward it to whoever maintains their website.
You decide whether to carry on
If you want the whole estate covered rather than a sample, pick a plan. We send a quote, a W-9, a certificate of insurance and a one-page agreement. Purchase orders are normal here — we invoice net-30 and service starts when the PO arrives, not when the money does.
We watch and repair, continuously
Every new PDF you post — agendas, minutes, budgets, notices — is picked up within a day, repaired where repair is possible, and returned. Your site is re-checked on your plan's schedule and your fix list is updated. Your web vendor makes the site changes; we do the documents, because we hold the file.
You get the record
At any time, and in full each year, a dated log of every check, defect and repair. That file is the point. It is what shows a federal reviewer that you found the problem and worked on it, which is the thing that is actually assessed.
What we fix, and what we hand to your web vendor
Being straight about this matters, because the split surprises people.
We repair directly
Documents. PDFs you publish — the file itself. We set the language and title, fix the structure where we can, and verify the result with a different tool than the one that made the change. Anything we cannot fix safely is named in your report with what it needs.
We specify, your vendor implements
Your website. We have no access to your CMS — you are on CivicPlus, Apptegy, Finalsite or similar — so we give an exact list: this text, this colour, this page. Often one template fix clears dozens of issues at once.
If you would rather we did the site changes too, say so in the free review and we will tell you honestly whether that is worth paying anyone for, and roughly what it should cost. It is not part of our plans.
Why it never finishes
A council posts new minutes every fortnight. Every one of them is born non-conformant, exported from Word with no title and no headings. Cleaning up once and stopping puts you back where you started within a year — which is why this is an annual service and not a project, and why the record matters more than any single clean-up.
